Marketing systems that respect the compliance boundary
Healthcare marketing fails in one of two directions: so cautious it cannot measure anything, or so instrumented it puts protected information somewhere it must never be.
What this covers
Where the engine usually leaks
Compliance-aware tracking
Analytics and ad pixels configured so conversion measurement does not quietly carry protected information to a third party.
Patient intake and follow-up
Intake forms, reminders, and follow-up sequences that route correctly and record correctly, without practice staff rekeying anything.
Referral and provider relationships
Referral sources tracked as real relationships in the CRM rather than as a note in somebody's inbox.
Reputation and recall
Review generation and recall campaigns run as a system, so they still happen in a busy month.
Where the protected data actually lives
The dangerous mistake is not sending a marketing email. It is a tracking pixel on a page whose URL names a condition, or a form field capturing detail that then syncs somewhere with no agreement covering it.
Where protected health information is genuinely in scope, the architecture has to be built for it from the start, including the agreements behind every platform touching the data. That is a decision to take deliberately, with your compliance counsel, not one to discover afterwards.
Common questions
Can HubSpot be used in a HIPAA context?
In the right configuration and on the right subscription tier, with the necessary agreements in place between all parties. It is not a checkbox and it is not automatic. We will walk through what your specific setup requires before anything is built.
Can we still run ads?
Yes, with care about what the conversion event carries. Most of the risk sits in what gets sent back to the ad platform, and that is configurable.
Who signs off on the compliance side?
Your counsel or compliance officer, always. We build to the boundary they set and document what the system does so that review is possible.
